Zapier Integration Documentation

Complete guide for connecting Routio to Zapier

Overview

The Routio Zapier integration enables you to connect your lead distribution workflow to 5,000+ applications without writing any code. Whether you're a lead supplier sending leads into Routio or a buyer receiving distributed leads, Zapier makes automation simple.

For Suppliers

Use the "Create Lead" action to send leads from form builders, CRMs, or any source to Routio.

For Buyers

Use the "New Lead" trigger to automatically route leads to your CRM, spreadsheet, or any destination.

Authentication

Routio uses OAuth 2.0 for secure authentication with Zapier. When you connect your account, you'll be redirected to a secure login page to authorize the connection.

Connection Steps:

  1. In Zapier, add Routio as your trigger or action app
  2. Click "Sign in to Routio" when prompted
  3. You'll be redirected to the Routio login page
  4. Enter your Routio email and password
  5. Click "Connect to Zapier" to authorize the connection
  6. You'll be redirected back to Zapier with an active connection

Note: Your connection type (supplier or buyer) is automatically determined by your Routio account role. Suppliers can use the Create Lead action, while buyers can use the New Lead trigger.

New Lead

Triggers instantly when a new lead is distributed to your buyer account. This is a real-time webhook (REST Hook) trigger that fires the moment leads are assigned to you.

Note: Custom fields configured by your seller are automatically included in the output. Sample data with all available fields is shown when testing your Zap.

Create Lead

For Suppliers

Send a new lead to Routio for distribution. The lead will be validated (if enabled) and routed to buyers based on your seller's distribution rules.

Note: Additional custom fields are dynamically loaded based on the category you select. These fields are defined in your seller's lead schema for that category.

Setup Guide

Setting Up the New Lead Trigger (Buyers)

  1. Create a new Zap in Zapier
  2. Search for "Routio" as your trigger app
  3. Select New Lead as the trigger event
  4. Click "Sign in to Routio" and log in with your buyer account
  5. Complete the authorization flow
  6. Click "Test trigger" to fetch sample lead data
  7. Add your action app (HubSpot, Google Sheets, Slack, etc.)
  8. Map the Routio lead fields to your destination app
  9. Test your Zap and publish it
  10. New leads will now trigger your Zap in real-time!

Setting Up the Create Lead Action (Suppliers)

  1. Create a new Zap in Zapier
  2. Add your trigger (Typeform, Gravity Forms, Webhook, etc.)
  3. Search for "Routio" as your action app
  4. Select Create Lead as the action event
  5. Click "Sign in to Routio" and log in with your supplier account
  6. Select the lead category from the dropdown
  7. Map fields from your trigger to Routio lead fields
  8. Custom fields for your category will appear - map those too
  9. Test your action to create a test lead
  10. Publish your Zap to start sending leads automatically

Troubleshooting

Connection Issues

"Your session has expired" - Your access token has expired. In Zapier, disconnect your Routio account and reconnect by signing in again.

"Your session is invalid" - Your connection may have been revoked or is no longer valid. Remove the connection in Zapier and create a new one.

Trigger Not Working

If your New Lead trigger isn't receiving leads:

  • Make sure your Zap is turned ON (published)
  • Verify your buyer account is active in Routio
  • Check that you have active buyer campaigns configured
  • Look at the Routio dashboard to confirm leads are being distributed to you
  • Check your Zap history in Zapier for any errors

Lead Validation Errors

"Lead was rejected because the email or phone failed validation" - Your seller has enabled validation with rejection mode. To fix this:

  • Ensure email addresses are in proper format
  • Verify phone numbers are valid and formatted correctly
  • Check that you're not sending test/fake data
  • Contact your seller if valid leads are being rejected incorrectly

Missing Categories

If you don't see expected categories in the dropdown, your supplier account may not have access to all categories. Contact your seller administrator to request access to additional lead categories.

Custom Fields Not Showing

Custom fields only appear after you select a category. Make sure to:

  • Select a category first
  • Refresh the fields after selecting a category
  • Check with your seller if certain fields should be available
